Payment Policy

I. Usage fees

Here's a summary of what you'll need to pay throughout the order process with us:

1. The first charge

This charge will include the item price and service fee.

1.1 Item price (always pay)

This is the price listed on the product page on the date of your payment, including any applicable sales tax or VAT.

1.2 Service fee (always pay)

Our default service fee covers the purchasing fee for our staff to buy the item on your behalf and a re-packing fee. Additionally, you can opt for other services such as insurance, photos, storage, etc., to ensure your order is delivered safely.

We have 4 plans for you to choose from. Please see detail in table as follows:

Note	1. When purchasing multiple units of the same item simultaneously, the fee plan will apply as if for a single item. Example: If you purchase 2 shirts under the Standard plan, the charge will still be 600¥. 2. Once selected, the plan cannot be altered or canceled.

 

Detail fees:

a. Purchase fee (always pay)

Fee for contacting the seller and purchasing.

Fee: 250¥/item

 

b. Standard packing (always pay)

Fee for re-packing, applicable to non-fragile items under 2kg.

Fee: 100¥/item

Please note:

- Charges remain the same if we use the seller's original packaging.

c. Special packing (sometimes pay)

Fee for re-packing, applicable to fragile items or those weighing over 2kg.

As this fee is paid at 1st charge, we recommend our customers proactively pay for this service when they buy fragile or heavy items, such as: Golf Clubs, Guitars, Umbrellas, Laundry Poles, Skateboards, Walking Sticks, Glasses, Monitors, etc.

Fee: 300¥/item

Please note:

- In some cases, customers might not choose special packing for fragile and/or heavy items. In those cases, we will charge 200¥ additional fee for switching from standard packing (normal packing) to special packing. It will go with an international shipping fee that is notified to you in 2nd charge.

- Charges remain the same if we use the seller's original packaging.

d. Shipping Protection (recommended to pay)

Fee covers 100% of the item price against loss or damage during international shipping.

Fee: 250¥/item

Please note:

- Refunds are available only for items that are lost or damaged.
- Claims must be made within 14 days from the package's arrival date.

Items ineligible for insurance coverage include:

- Damage previously disclosed by sellers.
- Operational malfunctions in electrical devices and watches.
- Malfunctions caused by assembly or movement of items such as toys and furniture.
- Shipping damage that is not visually evident.
- Damage not visible on inspection.
- Items rejected by the customer.
- Incorrectly addressed items.

e. Photo service

We will take 3 pictures of an item.

Fee: 300¥/ item.

Please note:

- The photo service cannot be canceled once applied.
- Requests for custom photo-taking or retakes are not accepted.
- The weight in the photo does not include the weight of the shipping label or invoice.
- Please notify us within 14 days of the package's arrival if the items in the photo differ from the order.

f. Inspection service

We conduct free inspections on all items. However, please be aware that this service does not include checks for minor defects, functionality, authenticity, or other aspects that require expert evaluation. Occasionally, we may need to open your item to verify its condition.

Note regarding trading cards:

Trading cards purchased from private sellers on platforms like Yahoo! JAPAN Auction, Rakuten Rakuma, and Mercari JP are not covered under our plan if they have been altered, resealed, or tampered with, even if the contents do not match the item description.

Solutions:

Before making a purchase, carefully review the seller's ratings and item description. We advise buying from official sellers and stores like magi.
Consider using our photo service (300¥/3 pics) when making your initial payment. However, please note that this service does not replace compensation.

g. Storage duration

We offer complimentary storage for your item in our warehouse for up to 60 days. If the item remains beyond the 60-day period, a fee of 50¥/item will be applied for each additional 30 days. Please be aware that items exceeding 90 days of storage will be discarded.

h. Consolidation service

We offer free consolidation services with unlimited items and frequency as long as they remain within the storage duration. However, a 200¥ repacking fee will apply for any modifications or cancellations to a shipment after it has been packed and prepared for shipping.

1.3 Domestic shipping fee (rarely pay)

The domestic shipping fee covers the cost of delivering an item from the seller to Japan Flow's warehouse. Occasionally, customers may be charged this fee during the purchasing process.

2. The second charge

2.1 International shipping fee (always pay)

Once the item arrives at our warehouse and requires packing from your end, we will measure its weight and dimensions. Subsequently, we will send you an invoice for the shipping fee. The international shipping fee from Japan to your country is calculated based on the rates of international carriers.

2.2 Special packing fee (sometimes pay)

As part of our current procedures, customers must select their fee plan during the initial payment. If an item exceeds 2kg or is fragile and requires special packing, but customers did not opt for this service initially, an additional ¥200 fee will be applied.

For clarity: standard packing costs ¥100, special packing costs ¥300, resulting in an additional ¥200 charge for items requiring special packing.

3. Other Fees (rarely pay, customer is forced to pay if applicable)

3.1 Import tax and VAT

Customers should take responsibility for custom duties depending on each country (if any). Customers have to pay this Tax fee to the customs or delivery company.
Export clearance fee: 2,800 JPY applied to packages with a total value exceeding 200,000 JPY.

II. Payment currency

The currency used for payments at Japan Flow is Japanese Yen (¥). However, the settlement currency is determined by the issuing country of the credit card or the registration country of PayPal/ Stripe. Consequently, the amount you need to pay will be converted to yen based on the exchange rate and fees applicable on the settlement date.

III. Payment Methods

You can use the following payment methods for both the first and second payments with Japan Flow:

1. Paypal

- Choose "PayPal" as your payment method at checkout. PayPal will prompt you to verify the transaction before proceeding.
- Japan Flow will automatically deduct the payment from your PayPal account for orders or auction wins.
Please note:
- A 3.6% fee of your total payment amount + 40¥ applies when using PayPal as the payment method.
- Payments may be rejected if your city, state, or postal code does not match for US residents.
- PayPal payments may be rejected if the shipping address country differs from your PayPal account country.
- The currency used for payment will be determined by your PayPal account's country of issue.

2. Stripe

- Select "Stripe" at the checkout screen and enter your card details, including card type, number, expiration date, etc. Your information is protected by SSL encryption.
- Accepted cards include VISA, MasterCard, American Express, Maestro, and others.

Please note:
- A 3.6% fee of your total payment amount applies when using Stripe as the payment method.

Terms and conditions:

- Payment must be made in a single transaction.

- All fees will be listed in Japanese yen and your registered currency.
- All fees will be displayed in Japanese yen and your registered currency.
- The currency and exchange rate used for payment will be determined by the country of issue of your payment card or your PayPal/Stripe registered country and the payment date.
- Estimated exchange rates in currencies other than yen are provided for reference only. Please refer to the final charged amount for the exact payment.
